Spam Manager Frequently Asked Questions

1. I have gotten a few SPAM coming through over the weekend. Is there an address we forward these to like we did with the abuse@frontbridge.com or how do we stop them from getting through?.

ANSWER: If you receive a spam message without the warning and you deem it to be spam, you can send email to spamsample@messagelabs.com with the spam message attached and request it be blocked.
The reason why some spam messages will get thru with the warning is that the spam filter that identified the message as spam has a high percentage of false positives (i.e. legitimate email that gets blocked as spam). MessageLabs uses multiple spam filters, some of the filters are farily accurate while some of the others are overly aggressive and will block legitimate email as spam. It is a tradeoff, we can block more spam with the risk of more legitimate email getting blocked or allow some spam to get thru but minimize the number of false positives. My preference is to allow a little more spam to get thru and minimize the number of legitimate email getting blocked. The filters which are very aggressive in trying to identify spam have been configured to just put a warning in the Subject line but allow it thru so the user can determine if it is spam or not. When we had these aggressive filters configured to quarantine the spam, a higher percentage of ligitimate email got filtered and I lost some of my legitimate email because I didn't check my quarantine mailbox.


2. What happens when there are multiple users with the same names such as John Doe? To distinguish between them the Lotus Notes mail systems use an extended form of the email address such as:
john_doe/KUHIO/HIDOE@notes.k12.hi.us and
john_doe/DOLE/HIDOE@notes.k12.hi.us
If both John receive notification to check their spamshark mailbox. How does one tell which John Doe the spamshark mail belongs to?


ANSWER: Many times we find that users will get a spam shark notification that goes to an alias address for them. When they get these notifications and they check their spam, often times they'll check the wrong email address. Make sure that users check the email account that the spamshark email was addressed to. This address will be in both the "To: " field of the email and in the "Dear: " salutation field in the body of the email.
The Spam Shark system can distinguish between the following email addresses as different users:
john_doe/KUHIO/HIDOE@notes.k12.hi.us
john_doe/DOLE/HIDOE@notes.k12.hi.us
john_doe@notes.k12.hi.us
A spam shark mailbox with the spam mail is created for each email address shown above. To determine which spam shark mailbox that you need to check when you get notified, look at the "To: " field of the email and in the "Dear: " salutation field in the body of the email as mentioned above.


3. No matter what password I use, I can't access my spamshark mailbox. What should I do?
ANSWER: Please E-mail to nssb@k12.hi.us for assistance. We will manually check your spamshark mailbox and assign a password for you.

4. Do I really need to check my spamshark mailbox?

ANSWER: No, if you trust the spam filtering system to not block legitimate email then you don't have to check it. Spam mail in the spamshark mailbox gets deleted every 5 days. The chance of legitimate email getting blocked is miniscule though there have been a few cases of this happening. In those cases, newsletters or mailing list type email got blocked. Newsletters and mailing list email often times have keywords that the filter will sometimes consider as spam i.e. "make money", "win something" etc. The newsletter might be something you want to receive but the keywords in the content of the newsletter might make it appear to be possible spam.
